Overview
What Waqt does
Live Scan and fingerprinting appointments are a small process that generates a large amount of coordination. Several departments need slots. One office runs the scanner. The calendar lives in a shared inbox or a spreadsheet, double bookings happen, reminders are sent by hand, and afterward nobody can say who changed what.
Waqt replaces that with one calendar. Availability is published once per location, each department books only its own appointments, confirmations and reminders go out automatically with a calendar invite, the front office checks people in from an arrivals list, and every action is recorded in a log that cannot be altered.
Who it is for
- Government agencies that run background checks and credentialing across departments. Waqt was built for them first.
- HR and operations offices in healthcare, education, and staffing that fingerprint staff, volunteers, and contractors as part of onboarding.
- The people around the scanner. An agency administrator who owns the calendar, department coordinators who book their own candidates, front office staff who handle arrivals, and finance or operations staff who need the numbers.
What you get
- Central booking calendar. Availability per location from a weekly template, with blackout dates, open exceptions, and public holidays pre-loaded. Slot length is yours to set.
- Department-scoped booking. Coordinators book, reschedule, and cancel only within their own department, within the capacity the administrator set. Booked slots can be shown as private or shared.
- Built-in reminders and alerts. Confirmation, change, cancellation, and reminder emails with calendar invites, plus administrator alerts for cancellations, conflicts, and no-shows. Templates are editable.
- Front office tools. An arrivals list, printable daily sheets, and attendance recorded as show or no-show.
- Documents. Signed upload and download with versioning, and PDF forms attached to emails automatically.
- Reports. Exhibit A show and no-show billing reports, daily schedules, and monthly summaries, ready to export.
- HIPAA-aligned audit log. Append-only, never purged, covering every booking and administrative action.
- Administration. User invitations and approvals, departments, custom booking fields, CSV import, tenant settings, and a status and incident panel.
- Sign-in your IT team will accept. Microsoft Entra ID or another OpenID Connect provider, native passwords, or both, with automatic session timeouts.
How it runs
Waqt is a hosted service. One Ten Labs runs it, keeps it updated, and operates the infrastructure; your team signs in from a browser. An agency can be booking its own appointments within days of setup, and a free 30-day pilot lets you prove it on real appointments before committing.
Where your process needs more than the standard flow, the same three options apply as for every product:
- Start with Waqt as it is.
- Tailor it to your workflow as an engagement: integrations with case management, HR, or identity systems, additional reports, or custom booking rules.
- Build something new if scheduling turns out to be one part of a larger workflow problem.
Tailoring or building is a fixed-scope, fixed-term engagement with a named lead and a written definition of done.
Security, plainly
Waqt uses encrypted credentials, hardened access controls, and a data retention schedule you set. It is aligned with SOC 2 and ISO 27001 practices and designed to support a HIPAA compliance program. It does not claim to be certified against any of them, and we will say so in writing.
Where it came from
Waqt exists because scheduling across departments from a shared inbox came up more than once in client work, and every version had the same failure modes. When we see the same problem three times, we turn the solution into a product.
Related services: workflow automation for the onboarding and credentialing processes around scheduling, and custom software consulting when the problem is larger than a calendar.
